ADMISSION AND ONBOARDING

In addition to your monthly tuition, Music Box charges a one-time non-refundable $30 application fee at the time of enrollment, unless you have already paid for a trial lesson prior to the sign up, then the application fee is paid out of the $30 credit on your account.

Upon enrollment, every Music Box student is set up in our systems, with a personalized online portal, and all appropriate grade level paperwork: curriculum, dashboard, student file, etc., all of which are continuously updated, managed and made available to you for review upon request, at any point in your learning journey with us. A new student assessment is administered at the time of the first lesson, in which our educator determines and records the student’s current skill level as “baseline”.

In addition to reviewing the “Welcome e-mail” we send you, we strongly encourage you to schedule a 30-minute onboarding meeting with one of Music Box’s administrators, during one of your initial lesson weeks. We will discuss your path to learning success, the most commonly used systems, processes and resources, goals and expectations, and will be happy to address any questions. EDUCATORS

When a student joins Music Box program they are assigned a lead instructor, and occasional substitutions by other Music Box educators are designed to be part of your learning journey.

We teach as a team and all staff at Music Box is trained, qualified, and evangelizes our school mission, vision and Teaching Method (TM). All of our educators are also students and / or performers and will have to miss some work shifts at Music Box throughout the year. Regardless of your instructor on a particular date, the curriculums, lesson structure, content and teaching methods are utilized, lesson notes are issued, and students continue to make progress. Our experience and research shows that students learning from multiple instructors throughout the course of the year tend to score higher on their level graduation tests.

LESSONS DURACTION AND CADANCE

Individual Lessons and Group Lessons are scheduled for for 30 minutes and 50 minutes respectively, once per week, . Students learn to play, read, compose music and improvise, every week, and progress through their grade-level curriculum at their own pace, working towards one their grade-testing evetns.

Some months will amount to 4 and some - to 5 scheduled individual lessons.

COMMUNICATION is important to us. These are the ways we communicate with you in order to maximize your child’s experience with us:

    • Your updated profile info with e-mail, phone number, any notes on the student, and a valid payment method

You will receive all automated emails and reminders, related to your lessons. You can manage your communications preferences via your Music Box portal, if you’d like to receive less communications.

MONTHLY TUITION & PAYMENT TERMS

Your Monthly Tuition covers:

  1. 4-5 individual 30-minute, or group 50-minute lessons per month, with corresponding lesson notes and a grade level curriculum (updated in every lesson, and renewed after each grade testing

  2. 60-minute monthly Performance Learning Event / Workshop. Students don’t have to perform to participate

  3. Unique, proprietary and effective Learning Method and Aspirational Programs (TM), designed for measurable progress, growth mindset, and development of holistic musical skill set

  4. Best-in-class, passionate, knowledgable, dependable and caring Educator Team

  5. Learning facilities, materials, resources and tools: unlimited digital copies, access, tutorials, sheet music, tracks, apps, software, gear, equipment and instruments

  6. Students files and records: profiles, progress reports, grade curriculums, dashboards, graduation certificates - per grade level (10 grades in total), per instrument, continuously managed, always available for review and reference, with copied issued upon request

  7. Testing Events and Graduation Recitals, with all corresponding preparation, paperwork, tracks, communications, set up, record keeping, admin and instructors’ time and feedback, and learning experiences, designed to build EI, communications and confidence skills, in addition to music performance and session skills. Other national schools charge $300-$400 per each testing event, and we offer this experience for free.

  8. Personal online portal with easy and convenient learning, communications, payment and scheduling options

  9. Communications: a monthly newsletter, which is promotional and informational in nature, a weekly informational letter that contains important school updates, system reminders that are auto-generated and can be self-managed via your online profile, individual ad hoc e-mails, texts and phone calls on as needed basis, posts on our Facebook, Instagram, Youtube and LinkedIn pages and signage at the school, or school-sponsored events.

  10. Performance and competition opportunities at Music Box and off-site, with corresponding coaching and audition-prep programs

  11. Options to review your student progress, either by visiting with your instructor during the last 5 minutes of your lesson, scheduling a conference with Music Box staff, checking on your curriculum, or just reaching out via your preferred communication channel

  12. Access to facility, practice rooms, gear, technology and instruments for practice purposes, by appointment (subject to availability), with adult supervision (if the student is a child)

  13. Free enrollment and participation in the Music Box’s Leadership Program

First month’s tuition will be prorated at the time of enrollment through the end of the current month.

Monthly tuition is due and automatically withdrawn from the credit card provided on file, on the first day of each month.

There is no long term contract, your commitment is month-to-month.

Music Box doesn’t issue any refunds for an already processed tuition, unused lessons, or lesson credits. If the refund is still requested after the charge has processed and prior to that month’s first time of service, a $30 cancellation fee will be charged / deducted from the amount of your refund, per subscription/transaction.

LESSON CANCELATIONS & RE-SCHEDULES (MAKE-UPS)

Lesson schedule is initially established at the mutual convenience of the student and their lead educator, at the time of enrollment. Available weekly times are accessible via your student portal at your convenience. Any ad hoc reschedules, aka cancellations for a make up lessons, should be actioned via your online portal at www.musicboxinc.com. Inquiries and issues related to scheduling, lesson cancellations or make-ups can be directed to info@musicboxinc.com or (901) 626-0973.

Each student is allowed 2 schedule changes in a rolling 90 day period (3 months), beginning on the day of their first cancelled lesson in our system and restarting every 90 days after that.

Cancellations should be made at least 2 hours in advance, to receive a lesson credit. Lesson credits do not roll over and cannot be borrowed from one 90-day period to another. Lesson credits expire in 30 days from date of issuance, if not scheduled.

“No-shows” (absences without prior communication, or cancellations in less than 2 hours from the lesson start time), will not receive any lesson credits, as educators are present for the lesson, and hence are paid by the school. As a courtesy to our Educators, we ask that you advise the school of any upcoming absences as much in advance as possible.

If you are out of credits, or are unable to attend your lesson and do not want a lesson credit, we can offer your several convenient alternative ways to use your paid-for lesson time:

  1. You can take a virtual lesson (via zoom) from your current location. All Music Box instruction rooms are equipped with video and streaming capabilities.

  2. You can send in your friend or a family member in your stead.

Please remember that consistency and regular lesson attendance is key to your learning journey and success at Music Box. After 2 consecutive no-shows without communication, Music Box will automatically take the student off the schedule and make the spot on the schedule available for others. Payments on your account, however, can not be stopped without your request to Music Box to do so, in writing. No refunds, once charges are processed, will be issued.

In the event that Music Box initiates your lesson change, the student is guaranteed a make-up credit on their account.

Please note, that re-scheduling your make-up lesson will count for one of your allowed 2 credits per current 90-day period.

Lesson times are set, hence no class overtime is offered to students if they are late for their lesson. After 15 minutes, the student is considered a no-show.

There will be no make-up credits offered for missing your Band lessons or other group instruction programs, unless these have to be re-scheduled for everyone, by Music Box. Students are asked to recognize that they have an obligation to their fellow band members and should make every effort to attend all scheduled sessions / practices / rehearsals.

STOPPING LESSONS & TUITION AUTO-DRAFT

Customers may cancel their monthly tuition draw via a written notice to info@musicboxinc.com or (901) 626-0973, provided at least 5 business days prior to the first of the month. Music Box does not issue refunds for tuition that has already been drafted, or for any unused lessons, or lesson make up credits. If the refund is requested on the day of the draft, a $30 cancellation fee will be charged / deducted from the refund.

Verbal notice given to the educator and or a phone call will not be acted upon and is not considered sufficient. 

No refunds or credits will be given for any cancellations mid-way through the month. Customers are encouraged to finish out the lessons that they have already paid for, and use up all the lesson make-up credits prior to subscription cancelation.

In exceptional circumstances, Music Box reserves the right to cancel the student's lessons, due to inappropriate, disruptive, or violent behavior, or damage of Music Box property, without notice. In such instance, Music Box will disconnect the monthly auto-draw for the next month, but no refund will be issued for the remainder of the month (if applicable).

For any reason that your credit card on file doesn’t go through and the issue is not resolved by the 7th of the month, a late fee of $30 will be charged on your account monthly, until the past due amount is paid in full. Accounts delinquent for over 2 months will be sent to Collections.

Auto-payment is the only payment option at this time, and is set up through your student portal, before we can schedule your lessons. You are also able to conveniently manage your methods of payment on-line via your student portal. Only Music Box administrators are able to stop your payments, so you must notify us about your desire to stop lessons in writing, at least 5 business days prior to month end, otherwise you will be charged for the next month and no refund will be issued.

PAUSING YOUR MONTHLY SUBSCRIPTION

Students may pause their learning at Music Box for up to 2 months, without incurring the $30 re-enrollment fee upon returning to Music Box for lessons and programs. While the account is paused, we do not guarantee your previous lesson time with the same instructor upon your return. Once the pause term is up, your credit card will be charged on the first of that month automatically, so it is the student’s (or parent’s, where applicable) responsibility to contact Music Box administrator to establish the ongoing lesson schedule prior to the 1st of the month and the tuition auto-draft re-starting.

LESSON CANCELATIONS DUE TO SCHOOL CLOSURES

Music Box is usually closed on 4 National Holidays each year: New Year's Day - January 1, Independence Day - July 4, Thanksgiving Day - last Thursday of November, and Christmas Day - December 25. All lessons and programs will be cancelled and make-up credits will be issued on student’s account. If either of these falls on a Sunday, the following Monday is usually observed instead.

In addition to above mentioned holidays, Music Box is closed the last week of each year, 12/26 - 12-31 (in-service). All lessons and programs will be cancelled and make-up credits will be issued on student’s account.

Music Box may elect to close on inclement weather days, for safety reasons. These types of closures will be evaluated on an individual and as-needed basis and communicated out via our usual channels. If the school decides to close, your lesson(s) will be cancelled and make-up credits will be issued on your account, and will not count towards the allotted 2 make-up credits per quarter.

MEDIA & COMMUNICATIONS CONSENT

By paying your first invoice you give Music Box Inc. media and communications consent.

Media policy: we frequently take and post pictures and videos of staff, students, visitors and facilities, for training and marketing purposes. We do not use students names. If you wish to withdraw from media content, please contact our school at info@musicboxinc.com or (901) 626-0973.

Communications policy: upon your enrollment at Music Box you agree to receive transactional and promotional communications from us. These include, but not limited to a Monthly Newsletter e-mail, a weekly Music Box Weekly e-mail with important school updates, lesson and event reminders (e-mail and SMS), payment related communications, phone calls or SMS with urgent communications related to school closures or lesson reschedules. Please note, that unsubscribing from our monthly Newsletter, will also cause you to not receive the weekly school updates.

MONTHLY PERFORMANCE WORKSHOPS are 60 minutes in duration, and are part of Music Box educational curriculum, as well as a requirement for graduation to attend at least once per grade. In workshops students learn and develop confidence, essential communications and Emotional Intelligance skills, by either performing (by teacher nomination), or participating as active audience. Parents and friends are also welcome to attend the performance workshops along with the student. Each workshop is facilitated by a Music Box educator and has a built-in educational topic. These group sessions are designed to be an opportunity for students to perform in an informal, positive and safe setting, and prepare them for bigger, more formal stages, with skills that transfer to and enhance their lives outside of Music Box. No make-up lessons are offered for the missed workshops.

Opportunities to participate in various local and national music competitions (including singing, song-writing, bands, etc.), auditions and at events (festivals, concerts, fairs, holiday parades, etc.) are sought out and offered to all willing students, by Music Box, several times per year. Music Box also offers coaching, resources, rehearsal space, tools and gear to prepare the students for such events.

ADDITIONAL GROUP LESSON PROGRAM T&Cs

1. Non-attendance.

1.a. No lesson credits or make-ups will be provided for an individual's absence from the group program lesson. Everyone on the group’s roster will receive homework / lesson notes via e-mail (also accessible via your Music Box online portal) and can catch up that way. If there is another group lesson for that instrument, age group and skill level is already offered on a different day during the week, an administrator may be asked to manually add you to that week’s roster.

1.b. Please use the student portal to cancel your attendance, and let a Music Box administrator know of your absence.

1.c. If the lead educator is not available to teach, we will attempt to arrange for a substitute (qualified and trained, leading their own studio) educator, before having to cancel.

1.d. Where Music Box has to cancel the lesson due to educator’s absence (when unable to find a substitute), or due to a weather/operational emergency, or if the lesson falls on a holiday that is observed by Music Box, we will arrange for the missed lesson to be made up at a time that suits the affected students.

1.e. If a student is absent for more than three consecutive weeks, they will be taken off that group schedule with no refund, and their spot will be given away to another student. 

2. Attendance and behavior expectations

2.a. Lesson duration is 50 minutes.

2.b. Please arrive on time and also make arrangements to return to pick up students punctually. There will be no staff available to watch your child. This also enables us to make sure other classes are not interrupted or delayed.

2.c. Parents/Guardians are asked to wait outside the classroom during lessons and not interrupt lessons if possible, this is important to help lesson continuity and students’ progress, especially for new students.

2.d. If a child is finding it difficult to settle into the group lessons routine and becomes disruptive, we will take steps to ensure that this does not affect lessons, in the first instance talking to parents, but ultimately asking the child to leave without a refund.

2.e. Music Box doesn’t tolerate any disrespectful behavior or language, any type of harassment, bullying or discrimination.

3. Refunds

3.a. Music Box does not issue any refunds, including for missed or cancelled lessons, or lessons when students leave or are asked to leave due to feeling unwell, throwing up, or running a fever.

4. Online lessons

4.a. Three is no online option for group lessons at this time.
